Personal Household Assistant, Midtown Manhattan
The Household Personal Assistant & Scheduling Coordinator is the engine behind the family's daily lives. This is a pure desk role — focused, detail-intensive, and requiring a genuine passion for organization and scheduling.
Responsibilities
– Own and maintain all household calendars — for the principals’ and their children — ensuring they are always accurate, up to date, and conflict-free
– Liaise with and where required co-ordinate stakeholders within the family’s team to ensure service delivery is in place when and where required
– Liaise directly with charter operators, hotel concierges, car services, and other travel providers to make and confirm bookings as directed by the EA/PA
– Prepare clear and comprehensive pre-travel and pre-event packs for the family, covering all reservations, contacts, timings, and relevant documents
– Maintain household-wide scheduling, including staff rotas, maintenance appointments, and regular service provider visits as required
– Manage the complete paper trail for all bookings and commitments — confirmations, contracts, reservations, and insurance renewals — ensuring nothing lapses or is missed
– Monitor and flag upcoming renewals, deadlines, and scheduling conflicts in advance, so the team is always prepared
– Support the wider assistant team with scheduling and administrative tasks as required
Requirements
– Experienced in a scheduling, diary management, or household PA role, ideally within a UHNWI, private family office, or high-end hospitality environment
– Exceptionally organized and systematic, with a natural eye for detail and a low tolerance for error
– Confident coordinating private aviation, luxury travel, and concierge-level logistics
– Calm and reliable under pressure — able to handle last-minute changes without fuss and find solutions quickly
– A clear and professional communicator, comfortable liaising with external providers and household contacts on the family's behalf
– Highly proficient with calendar and scheduling tools, as well as excel, and comfortable managing and synchronizing multiple overlapping diaries
– Discreet and trustworthy, with an innate respect for privacy and confidentiality
– A NYC resident with full right to work in the USA
Compensation $125,000-175,000 DOE
